Privacy Policy

This policy explains what data FleetLoop collects, how we use it, who we share it with, and the rights you have over it. It covers rental shops that subscribe to FleetLoop and renters whose data those shops upload to the service.
What we collect
We collect the data needed to run the service.
- Account data. Your name, email, shop name, shop address, and phone number if you give us one for support.
- Payment data. Subscription billing is handled by Stripe. Optional rental payment processing is handled by Stripe or Square. We never see or store full card numbers.
- Rental content. Rental agreements, vehicle details, renter details, pickup and return photos, mileage, fuel, fees, deposits, signatures, and notes.
- Usage telemetry. Page views, performance timings, and error reports used to keep the product fast and stable.
- Support correspondence. Email and chat we exchange with you when you contact us.
How we use it
- Deliver the service to your shop and its renters.
- Bill your shop for the subscription.
- Provide support when you ask for it.
- Improve the product based on aggregate usage patterns.
- Detect and prevent fraud and abuse.
- Send transactional email about your account, subscription, and service.
Your rights
Depending on where you live, you may have rights to access, correct, delete, export, or object to processing of your personal data.
To exercise those rights, email privacy@fleetloop.us. We respond within 30 days.
If you are a renter of a shop using FleetLoop and want your data removed, contact the shop first. They control their renter data. We will help the shop process the request.
Data retention
- Active account data is retained for as long as the subscription is active.
- Cancelled account data is kept for a 30-day grace period, then deleted.
- Deleted data is rolled out of encrypted backups within 90 days.
- Security audit logs are retained for at least one year.
Children
FleetLoop is not directed at children under 13. We do not knowingly collect data from minors. If we learn that we have, we delete it.
International transfers
FleetLoop is a US service. Every tenant primary database lives in a US data center on Cloudflare D1. Static assets are served from Cloudflare global edge locations and contain no personal data.
Changes to this policy
We will notify subscribers by email at least 30 days before any material change takes effect.
